The licence model that makes 3CX cheap for one organisation makes it awkward for another. These are the two situations we see most often.
It suits you when
You have between roughly ten and two hundred users, concurrency well below headcount, an internal team or a partner willing to own a server, and a requirement for Australian data residency that a hosted platform cannot meet on your plan. Cost per user falls sharply at this shape, and the contact centre features arrive without a second contract.

You need workforce management or quality management as a native module, a packaged outbound campaign dialler, twenty-four hour vendor support rather than partner support, or certification evidence your auditor will accept without a follow-up. Those requirements point to a platform with a heavier compliance and support apparatus behind it.

What a 3CX selection looks like when it is run properly

Size the concurrency, not the headcount
The licence band is the single biggest cost variable and the one most often guessed. We take call records from your current system and model peak concurrent calls against real traffic, including the seasonal peak rather than the average week.
Decide hosted or self-hosted on the requirement, not the preference
Data residency, internal capability, existing cloud spend and who carries the patching obligation all point one way or the other. Both options are viable and they cost different amounts once the server and the administration time are counted.
Compare it against the platforms it displaces
Usually RingCentral, 8×8, Dialpad, GoTo and Microsoft Teams Phone. We put them side by side on the fields that decide the outcome rather than the feature grid.
Put the questions to the partner in writing
Support response times, hosting region, certification scope and what happens at renewal. These answers come from the partner agreement and not from the 3CX website.

What to check before you commit to 3CX
These are the items that decide whether 3CX still suits you in year three. None of them come up in a demonstration.
Which region your instance lands in
For 3CX-hosted instances, Australian and New Zealand customers are placed on Google Cloud, whose stated uptime is below the DigitalOcean and Vultr regions used in other markets. Ask for the region and the underlying provider in writing, and compare it against self-hosting in an Australian data centre.
The certification evidence, not the claim
Resellers routinely list ISO 27001, SOC 2, PCI DSS and HIPAA for 3CX. Those claims are difficult to trace to a primary source. Ask for the certificate and its scope. 3CX publishes materially less certification detail than the contact centre platforms it competes with, and that gap matters if your auditor asks.
What changed after 2023
The 3CX desktop client was compromised in a supply chain attack in 2023. That is not a reason to exclude the platform, and it is a fair question. Ask what changed in the build and signing pipeline, and who now reviews it.
Who actually answers the phone
3CX supports its partners rather than end users, so your response times come from the partner agreement. Establish the escalation path and the hours before you need them.
Whether the dialler is fit for the campaign
Outbound dialling is assembled in Call Flow Designer rather than shipped as a packaged campaign dialler. For light outbound this is fine. For a genuine outbound operation, price a third-party dialler into the comparison or the total will move.
The licence position after January 2026
The 30 January 2026 change withdrew the free tier, ended perpetual licensing for mid-market customers and applied a Fair Use Policy. Confirm which edition and band you are being quoted, on what term, and what an upgrade mid-term costs.

How much does 3CX cost?
The licence is priced per system per year against the number of simultaneous calls, across three editions. Because the count is concurrency and not users, the same organisation can land at very different prices depending on how its call traffic is distributed. The list price is only part of the total: SIP trunks, the server and its administration, and any third-party dialler all sit outside the licence. We model the full figure against your own call records.
Can 3CX be hosted in Australia?
Yes, by two routes. Self-hosting on an Australian cloud region or in an Australian data centre gives you a location you can name in an audit response. 3CX-hosted instances for Australia and New Zealand run on Google Cloud. If data residency is a stated requirement, confirm the region and provider in writing rather than relying on a general statement.
What are the main alternatives to 3CX?
RingCentral, 8×8, Dialpad, GoTo Connect and Microsoft Teams Phone cover most Australian shortlists. They charge per user rather than per concurrent call, run on vendor infrastructure, and generally carry more certification and support apparatus. Which of those differences matters depends on your concurrency, your compliance position and whether you want to own a server.
Does 3CX work with Microsoft Teams?
Yes, through Direct Routing in the ENT and AI edition, which lets Teams users make and take calls on your 3CX trunks. It is an integration rather than a Microsoft certified contact centre solution, so confirm the supported call flows against your requirements.
Is 3CX suitable for a contact centre?
For inbound contact centres up to moderate size, the PRO edition covers queues, skills-based routing, wallboards, recording and reporting. Native workforce management and quality management are the notable absences, and outbound campaign dialling needs building or buying. Above roughly one hundred agents, or where WFM is a requirement, a dedicated contact centre platform is usually the better answer.
